automagically create a shared drive and standard folders for new clients and projects?

tl;dr using Integromat and your favorite crm you can create standard spaces for your digital stuff without lifting a finger

whenever i create something and i dont know where to keep it, i "file" it on my desktop. this often mean that i dont know where to find it later or that others that might need it dont have access

since we implemented this simple automation my desktop has been cleaner and we all know where to find stuff

we use apollohq (5im.pl/apollohq) as a crm and when a new client is loaded, an Integromat (5im.pl/integromat) automation is triggered which creates a shared drive with a set of standard folders. team members are given access and new project folders are added to the clients shared drive when projects are created

something so simple that adds value at so many levels.

looking for quicker easier ways to do proposals and project documentation?

tl;dr i am automating our own process using Miro (infinite whiteboard app) Integromat and googledocs

over the years i have developed my own mechanism of planning and designing automations and integrations. In essence its a rough mix of shingo value stream mapping, customer journey mapping and various project management essentials.

while it has helped me improve my designs and estimations, as well as reduced the time it takes to plan a project, i have received consistent feedback from customers and partners that its to complex and cumbersome for them to read and understand.

to fix this i have created an automation that will, at a click of a button, convert this diagram into a more traditional project proposal. this same automation will be used to populate our scheduling and project management tools once the project kicks off.

as mentioned, this is still work in progress so watch this space for future updates or speak to me about a proposal for your business to be the first to get a sneak peak 😉

#012 #How | I use @veem to receive international payments

tl;dr its @prettysimpl - most can use it, fixed cost, and integrated invoicing

why:
- accessible: i have not found a client that was not able or not willing to pay via this platform auckland to seattle
- simple: easy as signup, setup and send
- integrated: my #Xero invoice has a paynow link that takes the client direct to prepopulated veem payment screen

cost:
- me (receiver): $20 per payment fixed fee, my bank's international transfer processing fee (R180). still roughly R600($30) per payment but much less (and simpler) than @paypal through @fnb and any other alternatives i have tried.
- client (sender): nothing

process:
- me: send client invoice. then depending on your setup in @xero you can have veem appear as a bank/control account or you can reconcile invoice direct with payment in bank.
- client: click on link (register if not yet) and pay.

why not cypto - while cheaper(could even make a little through arbitrage) its hard to explain to clients, few trust it and its a mission to setup and manage.

why not wire - international wires can be complex and costly for both parties

make a file available through an online form with this #prettysimpl recipe:

you will need:
1 x #google drive (other online storage might also work)
1 x #cognitoforms account (free account will work)
1 x something you want to share (has to be interesting)

step 1 - save your content on google drive
step 2 - get the sharelink to that file
step 3 - create a form in cognito forms (5im.pl/cognito)
step 4 - on the form, change the submissions setting > confirmation options from "confirmation message" to "redirect url" and place the share-link in there

voila!

recurring invoicing is a standard feature in most accounting and invoicing apps. auto invoicing has proven to be more elusive.

auto invoicing can be useful when you need to apply a variable amount interest every month, or when you want to #automagically invoice your customers at the end of the month for time spent on their projects, or if you want to invoice them for a top-up when they run out of prepaid credits and many more.

#Xero, #QuickBooks and #WaveAccounting have very accessible invoicing api endpoints which mean with the help of #Integromat (5im.pl/integromat) you can trigger and generate invoices from almost anything - anyone want to raise an invoice when your smart light-bulb goes on?

#004 #what - automated airtime and data provisioning
a client needed their team to dial into a regular conference call but many of the team were on prepaid and often did not have data or ran out during the call.

the team did not all have the means to buy airtime electronically so the client started a process of buying vouchers on their behalf. this was a very manual and time consuming activity and there was often an influx of requests right before a call was about to start.

using airtable (5im.pl/airtable), twilio (5im.pl/twilio), integromat (5im.pl/integromat) and a local airtime reseller we developed a solution where team members could go to a link, provide their phone number and data would be #automagically allocated to their account via a pinless voucher. there were checks to get the team members provider, make sure the request is from an actual team member as well as limiting the number of requests that were available to each person.

this has meant that the entire team could join the calls with no effort from the admin team and low risk of abuse.

#003 #coolsht - you dont have to do much automation to run into issues with inconsistencies in fullname, firstname and lastname data.

some popular form apps dont split the first and last name fields and so you end with a single field with the fullname which, among others, makes it hard to communicate in a less formal way in automated messages and interactions - hi cor schutte vs hi cor.

you would think it should be as simple as splitting the fullname at the space until you hit the first double name eg anna grace or billy jean.

nameapi.org lets you send it the full name and in return it provides you with very reliable structured first and last names as well as some other useful info like type (business or person) and gender.

#002 #why - our client has an email order fruit and veg delivery business and with the lockdown the demand for their service has gone up 400% in 2 weeks. while this should be a good thing they are struggling to cope under the pressure of the surge.

staff are working extended hours, the attention to detail and quality is going down, admin is backing up and general customer service is not what it used to be. working under these conditions have also made the owners rethink whether this is really something they want to be doing.

their process involved a lot of manual spreadsheet filling, customer emails, customer order consolidations, manual supplier orders, payment reconciliations etc.

by connecting a order form in cognito forms (5im.pl/cognito) to a custom airtable database (5im.pl/airtable) using integromat (5im.pl/integromat) we were able to remove a large portion of the manual work with a single automation.

its still early days but just talking with the owners through this and other possibilities have given them new hope and energy.
